Welcome to Monarch Family Counseling. By accessing our website or using our counseling services, you agree to be bound by these Terms of Service. Please read them carefully before engaging our services.
1. Acceptance of Terms
By accessing our website, scheduling an appointment, or receiving services from Monarch Family Counseling, you acknowledge that you have read, understood, and agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use our services.
We reserve the right to modify these terms at any time. Continued use of our services after changes constitutes acceptance of the modified terms.
2. Description of Services
Monarch Family Counseling provides professional mental health counseling services, including but not limited to:
- Individual therapy for adults, adolescents, and children
- Couples and marriage counseling
- Family therapy
- Anxiety and stress management
- Depression treatment
- Trauma and PTSD therapy
- ADHD assessment and support
- Telehealth counseling services
Specific details regarding your treatment will be discussed and agreed upon during your initial consultation and throughout your care.
3. Client Responsibilities
As a client, you agree to:
- Provide accurate and complete information about yourself and your health history
- Attend scheduled appointments or provide adequate notice for cancellations
- Actively participate in your treatment and communicate openly with your therapist
- Inform your therapist of any changes in your condition or medications
- Pay for services as agreed upon
- Treat our staff and other clients with respect
We are not responsible for delays or issues arising from inaccurate or incomplete information provided by clients.
4. Confidentiality
We are committed to maintaining the confidentiality of all information shared during therapy sessions. Your information will not be disclosed without your written consent, except in the following circumstances as required or permitted by law:
- When there is risk of imminent harm to yourself or others
- When there is suspected abuse or neglect of a child, elderly person, or dependent adult
- When ordered by a court of law
- When required for insurance billing purposes (with your consent)
- For consultation with other professionals to improve your care (without identifying information when possible)
Your therapist will discuss confidentiality and its limitations in detail during your first session.
5. Fees and Payment
Session Fees
Current session fees will be provided to you before your first appointment and are subject to change with advance notice. Payment is due at the time of service unless other arrangements have been made.
Insurance
We accept various insurance plans. It is your responsibility to verify your coverage and understand your benefits, including co-pays, deductibles, and session limits. You are responsible for any amounts not covered by insurance.
Late Payments
Accounts that remain unpaid may be subject to collection efforts. We reserve the right to suspend services for accounts with outstanding balances.
6. Cancellation and No-Show Policy
We understand that circumstances arise that may require you to cancel or reschedule an appointment. We request that you provide at least 24 hours' notice for any cancellations or rescheduling.
- Late cancellations (less than 24 hours' notice) may be subject to a cancellation fee
- No-shows (missed appointments without notice) may be charged the full session fee
- Repeated no-shows may result in termination of services
Insurance does not cover missed appointment fees, and these are the client's responsibility.
7. Telehealth Services
We offer telehealth (video) counseling sessions as an alternative to in-person visits. By using telehealth services, you acknowledge and agree that:
- Telehealth involves the use of electronic communications and may have technical limitations
- You will use a private, secure location for your sessions
- You are responsible for having appropriate technology and internet connection
- Telehealth may not be appropriate for all clinical situations
- You consent to receiving services via telehealth technology
8. Emergency Services Disclaimer
Monarch Family Counseling does not provide emergency or crisis services.
If you are experiencing a mental health emergency, please:
- Call 911
- Go to your nearest emergency room

- Text HOME to 741741 (Crisis Text Line)
Our therapists are not available for crisis intervention outside of scheduled appointment times.
9. Limitation of Liability
Counseling and therapy services involve exploring personal issues and may sometimes bring up uncomfortable feelings. While we strive to provide the highest quality care, we cannot guarantee specific outcomes.
To the maximum extent permitted by law, Monarch Family Counseling shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of our services.
This limitation does not apply to liability arising from gross negligence, willful misconduct, or breach of professional ethical standards.
10. Termination of Services
Either party may terminate the therapeutic relationship at any time. We may terminate services if:
- Treatment goals have been achieved
- The client is not benefiting from services
- There are repeated no-shows or cancellations
- There is non-payment of fees
- The client engages in threatening or inappropriate behavior
- A conflict of interest arises
When appropriate, we will provide referrals to other qualified professionals.
11. Intellectual Property
All content on our website, including text, graphics, logos, and images, is the property of Monarch Family Counseling and is protected by copyright and trademark laws. You may not reproduce, distribute, or use our content without written permission.
12. Governing Law
These Terms of Service shall be governed by and construed in accordance with the laws of the State of Texas, without regard to its conflict of law provisions. Any disputes arising from these terms or your use of our services shall be resolved in the courts of Texas.
